Rock House Edinburgh is a self-catering holiday let at 28 Calton Hill, Edinburgh EH7 5AA, Scotland. This policy explains what personal data we collect when you use this website or make an enquiry, why we collect it, and what rights you have over it. If you have any question about this policy or about your data, email us at rockhouse.edinburgh@gmail.com.
When you send us an enquiry through the contact form on this site, we ask for your first name, last name, email address, phone number (optional) and the content of your message. We use this information for one purpose only: to reply to your enquiry, answer your questions about availability, group bookings or whole-house hire, and, if you go on to book, to make the arrangements for your stay.
We do not use this information for marketing, we do not sell it, and we do not share it with anyone beyond the service providers described below that we use to run the site and process enquiries.
We process the data you submit through the enquiry form on the basis of legitimate interest: responding to a direct request you have made of us is a reasonable and expected use of that data. Where your enquiry leads to a booking, further processing is necessary to perform that contract with you.
The contact form on this site is handled by Web3Forms, a third-party form processing service. When you submit the form, your details are sent securely to Web3Forms and forwarded to us by email. Web3Forms does not use your data for any purpose beyond delivering your message to us, and does not sell or share it. You can read Web3Forms’ own privacy policy at their website for further detail on how they handle data in transit.
We use Plausible Analytics to understand, in general terms, how many people visit this site and which pages they read. Plausible is a privacy-friendly analytics service: it does not use cookies, does not collect or store any personal data, and does not track individual visitors across sites or over time. It cannot identify you, and no consent banner is required because no personal data is collected.
Once you decide to book a stay, the booking itself is processed through Hostaway, our property management and booking platform. Hostaway will collect the information needed to confirm and manage your reservation, such as your name, contact details, arrival and departure dates and payment details. Hostaway acts as a data processor on our behalf for this purpose, and their own privacy policy governs how payment and booking data is handled and secured.
Enquiries that do not lead to a booking are kept for as long as is reasonably useful to answer any follow-up questions, and are deleted or archived periodically thereafter. Where an enquiry becomes a booking, we keep the associated records for as long as necessary to meet our legal, accounting and tax obligations, which in the UK is typically up to six years after the end of the relevant tax year.
This site does not set marketing or tracking cookies. Plausible Analytics, described above, is cookie-free. Any strictly necessary cookies used for the basic operation of the site do not identify you personally.
Under UK GDPR, you have the right to:
To exercise any of these rights, email rockhouse.edinburgh@gmail.com and we will respond within one month.
We hope we would always be able to resolve any concern you raise with us directly. If you remain unhappy with how we have handled your personal data, you also have the right to lodge a complaint with the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or by calling 0303 123 1113.
We may update this policy from time to time, for example if we change a service provider or how the enquiry form works. The date at the top of this page shows when it was last revised. We encourage you to check back periodically if you have concerns about how your data is handled.
